About The Role

The Academy of St. Matthias the Apostle is seeking a warm, organized, and professional Front Desk Receptionist/Administrative Assistant to serve as the first point of contact for our school community.

This individual plays a critical role in creating a welcoming, safe, and efficient environment for students, families, and visitors while supporting daily administrative operations.

This is a full time position and will report to the Principal - the hourly rate of pay is $19.00 to $22.00 with excellent benefits.

Key Responsibilities

Front Office & Communication

  • Answer phones and provide accurate, timely information
  • Greet and assist visitors with professionalism and warmth
  • Manage front office flow and ensure a welcoming environment
  • Handle parent inquiries regarding school policies and procedures

Administrative Support

  • Maintain student and family records
  • Manage school databases and mailing lists
  • Prepare correspondence, forms, and communications
  • Support scheduling, calendars, and office organization

Office Operations

  • Manage incoming and outgoing mail
  • Maintain office supplies and inventory
  • Assist with school events, communications, and coordination
  • Support website updates and basic communications

Safety & Compliance

  • Monitor visitor access and maintain security protocols
  • Ensure proper sign-in/sign-out procedures
  • Support adherence to school policies and procedures

Family Interaction (KEY FOCUS)

  • Provide excellent customer service to families
  • Support parents with day-to-day needs and questions
  • Communicate with patience, clarity, and professionalism

Qualifications

Required

  • High school diploma
  • 3–5 years of administrative or customer service experience
  • Strong communication and organizational skills
  • Ability to multitask in a fast-paced school environment
  • Experience in a school setting - preferred
  • Familiarity with school systems or databases
  • Bilingual (Spanish preferred)
