About The Role

The Human Resources Associate provides administrative and operational support to the Human Resources (HR) function, ensuring efficient execution of core HR processes. The role is responsible for supporting staff recruitment, onboarding, benefits administration, government compliance, and employee services while maintaining accurate HR records and systems.

Requirements and Key Competencies

Earned bachelor’s degree in human resources or a related field required. Minimum of one year of relevant HR or administrative experience. SHRM or PHR certification preferred. Must possess strong organizational skills and proven attention to detail. Ability to maintain confidentiality and handle sensitive information is paramount in this role. Customer service experience and ability to serve internal clients (staff) is essential to success. Proficiency in systems (especially HRIS) and Microsoft Office suite is required. Must be able to communicate effectively and work successfully with others.

Responsibilities

A. Recruitment and Hiring Support

Create and post job advertisements on internal and external platforms.

Coordinate candidate communications and interview scheduling.

Prepare and distribute letters and new hire documentation.

B. Onboarding and Offboarding Staff

Coordinate onboarding activities to ensure a positive new hire experience.

Facilitate orientation and ensure completion of required documentation.

Manage employee offboarding processes, including exit documentation and system updates.

C. HRIS and Data Management

Maintain accurate employee records within the HRIS.

Perform regular data entry, audits, and updates to ensure data integrity.

Generate reports as needed for HR and leadership.

Assist with the set-up of the annual performance management module in the HRIS. Assist with performance management communication to all staff.

D. Benefits Administration

Support benefits enrollment processes and employee communications including conducting new hire benefit orientations and assisting with the open enrollment process and communications.

Assist with the benefit set-up in the HRIS so staff can enroll in benefits, including the annual open enrollment process and other qualifying life events.

Serve as a liaison with benefit vendors to address employee issues and queries.

Assist with benefits audits and ensure accurate reporting.

Help facilitate the FMLA process between staff and outsources providers.

Coordinate ADA accommodation requests with Senior HR Managers.

Track all types of leave of absence and partner with Payroll Manager to ensure proper time recording.

With Senior HR Managers, manage employee return to work process and ensure compliant paperwork is submitted.

Assist with tracking Worker's Compensation claim information.

Assist with Cobra paperwork administration.

Coordinate with EAP to schedule staff training and workshops.

E. Employee Support

Assist staff with HR self-service tools and general inquiries.

Provide guidance on HR policies and programs.

F. Compliance and Recordkeeping

Track compliance requirements such as training, certifications, and related documentation.

Maintain employee files in accordance with legal and museum standards.

Ensure proper management of I-9 documentation and audits.

G. Policy Administration

Assist with the annual administration and distribution of the Staff Handbook.

Support communication of HR policies and updates to staff.

Annual salary: $50,000 / 35 hour work week
