About The Role
POSITION : ADMINISTRATIVE ASSISTANT - REGION REPORTS TO : REGION HEAD DIRECTLY SUPERVISES : N/A UNIT / DEPARTMENT : DIVISION / GROUP : ASSIGNED REGION / BRANCH BANKING GROUP JOB SUMMARY The Administrative Assistant assists the Region Head through administrative and logistics support, monitors incoming and outgoing correspondences, and ensures documents are always in order. He/She acts as an MIS Assistant by monitoring branch performances as well as a Liaison Officer for all region-based activities. The Administrative Assistant manages the manpower complement and support for the branches. PRINCIPAL DUTIES AND RESPONSIBILITIES Information / Records Administration Logs, sorts, monitors and distributes incoming and outgoing mail using logbook or excel file to maintain an accurate and complete record of all correspondence. Ensures that reports in sales (e.g.: performance/bookings) and operations (e.g.: expenses, exceptions, deferments) are checked and consolidated using a monitoring system per position and per branch so that data are accurate and readily available once requested by superiors or by management. Maintains and updates a record of all the employees within the region or area as a secondary source of reference for pertinent documents needed by the Human Capital Management (HCM) and other related unit/s. Planning and Organizing Arranges schedule for meetings, huddles, trainings and seminars in coordination with branch personnel, head office and partner units to ensure all appointments are met and seminars are attended Keeps the organizational process of office events, strategic planning sessions, channel, and business reviews in a supervisory capacity. Coordinates with high level executives within the unit hierarchy for optimal conceptualization, planning and execution. Quality Orientation Acts as a Budget Officer of the region by keeping a record and tally of all requests and availments thus preventing an associate or branch to go beyond their approved expense allowance. Acts as a Liaison Officer by coordinating with other areas/regions and partner units for manpower, logistics and reportorial matters resulting in an efficient and orderly area operations. Ensures and reiterates the timely and satisfactory compliance of the banking units’ compliance to regulatory and internal controls. Maintains command responsibility over the administrative and day-to-day implementation of retail banking operations by providing support to the branches within the area or even the whole region. Maintains strong interpersonal relations within the corporate hierarchy structure. Participates in regular training sessions organized by the Head Office and partners to enhance partnership support for both the Head Office and their respective Group or Division Heads It is accepted and understood that the employee may perform other related tasks which may be assigned from time to time. JOB QUALIFICATIONS Years of Work Experience : Fresh graduate / less than 1 year of experience Educational Attainment/Required course (if applicable) : Bachelor's Degree in Computer Science/Information Technology, Business Studies/Administration/Management, Commerce, Economics, Finance/Accountancy/Banking, Human Resource Required Certification/Professional License ( if applicable ): N/A Field of Specialization ( if applicable ): Banking and Financial Knowledge and Skills Requirement: · Management Information System skills · People Management skills · Filing and organization skills; a ble to systematically manage all records and corresponds · Able to seamlessly schedule meetings, interviews, trainings and seminars · Can adeptly handle reportorial requirements
