About The Role
This position will coordinate and manage administrative operations of the Retzky College of Pharmacy, in-person, on its Rockford campus and will perform general administrative functions for the Vice Dean and Director of Finance and Data Analytics. The Business Administrative Associate (BAA) will coordinate administrative activities by working with College leadership, faculty, staff, campus partners, colleagues, alumni, and community members. Duties Responsibilities: Serve as an administrative support to Retzky College of Pharmacy's Rockford campus, including the Vice Dean and Director of Finance and Data Analytics. This includes: Support of the daily operations and functions of the Rockford campus. Maintenance and coordination of calendars. Scheduling meetings, events, and programs. Travel planning and arrangements. Work with the Director of Finance and Data Analytics on budget and financial matters. Acts as a University purchase card and travel card holder, requests purchase orders, prepares expenditure reports, and reconciles financial accounts in compliance with university policies and procedures. Work with the Office of Student Affairs, Office of Experiential Education, Class Coordinators, and other faculty, providing administrative assistance to ensure optimal efficiency of college run curriculum, programs, and events. Assist with greeting visitors, screening and prioritizing phone calls; collection and delivery of mail, answer inquiries or refer to appropriate personnel. Maintain and update information in related databases, records and files including information of a highly confidential nature. Provide standard and ad-hoc reports utilizing appropriate internal systems and databases. Take an active role in program development and implementation including retreats, interdisciplinary programs, continuing education events, student affairs programs, and other appropriate events. Maintain an encompassing, organized overview of significant University and departmental responsibilities and deadlines. Review, evaluate, develop, and interpret University and departmental policies and operational procedures. Serve as administrative liaison with the Colleges’ Chicago Campus administrative offices, departments, faculty, and staff. Coordinate the Colleges’ Rockford campus recruitment activities, employee onboarding, and other HR related activities with College Human Resources Officers on Chicago campus. Serve on college or campus committees when appropriate. Attend meetings and provide staff support and administrative assistance to committees as assigned, preparing, and organizing meeting materials and minutes as needed. Perform other related duties and participate in special projects as assigned.
