**Position Summary:**

The Food & Beverage Administrator is responsible for assisting the Director of Clubhouse Operations and Director of Dining Operations by providing administrative support to achieve maximum results in utilization of the Food and Beverage operation. Must be able to work independently with or without direct supervision in order to ensure efficient dining operation. Must be able to communicate proficiently with members and guests and address them by name whenever possible and must be attentive to their needs. This role supports the executive management, department managers, and employees through a variety of tasks related to organization and communication. This role includes constant and effective communication ensuring all duties are completed accurately and delivered with high quality and excellence in a timely manner.

**Qualifications:**

  • Restaurant/ Hospitality management education preferred, and minimum two years practical industry experience.
  • Good organizational skills for dealing with diverse duties and staff.
  • Pleasant, polite manner when dealing with members as well as staff.
  • Proficient in Microsoft Office Suite including Excel, Outlook, PowerPoint, Publisher and Word.
  • Effective oral and written communication skills

**General Responsibilities:**

  • Reports to work as scheduled, appropriately groomed and attired and ready to work, in accordance with Club appearance standards.
  • Greets members and guests by name whenever possible and must be attentive to their needs.
  • Familiarizes himself/herself with daily menu, table numbers and seat positions.
  • Ensures Compliance with all health and safety regulations.

**Job-Specific Responsibilities:**

  • Oversees Dining Reception team, ensuring their knowledge of standards, preparation for meal periods and overall execution of Standard Operating Procedures.
  • Must have knowledge of Club’s time keeping regulations ensure accurate accounting of hours worked.
  • Tracks uniform inventory, pars, and requisitions orders for approval on to ensure pars are maintained.
  • Works with Executive Chef, F&B Director, and Director of Clubhouse Operations regarding menu design, printing, and adding menus to the Club’s website, ensuring 100% accuracy of spelling and grammar.
  • Schedules the food and beverage employees allocating scheduled times and departments accurately.
  • Maintains the attendance log and brings attendance patterns violations to the F&B Director for review.
  • Reviews Week at a Glance ensuring all events and meetings spaces are scheduled and assigned.
  • Screens incoming calls for the Food & Beverage department and relays necessary information and scheduling appropriately.
  • Communicates with Food and Beverage management team when scheduling more or less than budgeted labor requirements.
  • Audits weekly schedules against actual hours worked for variances, reporting to the directors for review and analysis.
  • Enters daily gratuities, ensuring the bi-weekly payroll deadline is met.
  • Must have working knowledge of the Point of Sale (P.O.S) computer system and how to input new items into the system, including daily event menus.
  • Checks the function sheets and calendars on a daily basis against room set up and employee schedules and adjusts where needed to ensure service needs are met.
  • Assists in the production and detailing of function sheets.
  • Maintains accurate records and communication with the management team.
