Hours: 15 per week

Pay: $13.00 per hour

I. Purpose of the Job

SEBTS Mission Statement: Southeastern Baptist Theological Seminary seeks to glorify the Lord Jesus Christ by Equipping students to serve the church and fulfill the Great Commission

Student Life Division Mission Statement: The purpose of the Student Life Division is to support the mission of SEBTS by providing co-curricular discipleship & spiritual formation, essential services, and community building activities that assist students to:

  1. Engage their vocational training with a whole heart and without distraction,
  2. Integrate their learning experience both in and out of the classroom,
  3. Develop holistically in the love for and service to the Lord Jesus Christ & His Church for the sake of the nations

The Women’s Life Administrative Assistant supports and organizes the work of Women’s Life and Graduate Life by organizing operations, coordinating communication, and enhancing the effectiveness of the Women’s Life Coordinator and related offices.

II. Essential Functions and Responsibilities (AOR: Areas of Responsibility)

  1. Assist the Women’s Life Coordinator
  2. Manage accounting and budgeting related to Women’s Life events
  3. Assist the office of Grad Life in other ways as needed
  4. Coordinate with Share Shop Coordinator

III. Specific & Other Duties and Responsibilities

  1. Assist the Women’s Life Coordinator
  2. Assist with planning the Women’s session at New Student Orientation
  3. Organize and execute women’s events on campus
  4. Reserve space in Coursedog
  5. Work with Marketing and Communications office to create graphics
  6. Create event schedule
  7. Order catering and necessary supplies
  8. Oversee WASE communications and social media
  9. Order merchandise for WASE
  10. Set up WASE booths at various events
  11. Perform other administrative tasks such as creating forms, assisting in communication, etc...
  12. Manage accounting/budgeting related to Women’s Life events
  13. Reconciling and managing credit cards
  14. Oversee purchase orders, deposits, and petty cash vouchers
  15. Management and tracking of the Women’s Life budget
  16. Assist the office of Graduate Life and the Graduate Life Director in other ways as needed
  17. Regularly update Grad Life staff on budget
  18. Assist with preparation and planning of large events (like NSO)
  19. Buy and restock supplies for the office as needed in coordination with other office assistants
  20. Perform other administrative tasks as needed
  21. Contribute to good relationship between Grad Life office and other offices on campus
  22. Coordinate with Share Shop Coordinator
  23. Purchase supplies as requested by the Coordinator
  24. Occasionally meet with Coordinator to provide support and answer questions
  25. Provide quarterly budget updates to Coordinator
  26. Support Share Shop coordinator with ministry needs and communication

IV. SUPERVISORY RESPONSIBILITIES

  1. Directly supervise staff, students, and/or volunteers who are part of Women’s Life or Grad Life event team at any given event.
  2. Coordinate with Share Shop Coordinator.

Preferred

Proficiency in accounting organization/excel spread sheets

Familiar with Microsoft Office Suite

  • Experience with running various social media platforms
  • VI. FISCAL RESPONSIBILITY

Budget Oversight

  • Oversee use of budget for all Women’s Life events and efforts
  • Process occasional purchase orders.

Reconcile reports for office credit cards, which includes

  • Tracking receipts and out of pocket expenses
  • Monthly online reports
  • Occasional cash transmittals
  • Occasional new vendor requests
  • VII. EXTENT OF PUBLIC CONTACT
  • Extensive: Students, Student Life Division, IT, faculty members, and other institutional divisions and departments.
  • Regular: Department Directors and Assistants, miscellaneous others outside campus and during travel while representing the seminary.
  • VIII. PHYSICAL DEMANDS
  • Walking – Heavy/Daily: around campus to deliver materials, attend meetings, and participate in campus events
  • Extensive walking and stair use in the Ledford Center; job includes responsibilities on all 4 floors of the Ledford Center
  • General Activity – Moderate to Heavy
  • High activity level required to meet responsibilities of the position, mostly related to mobility inside the Ledford Center.
  • IX. WORKING CONDITIONS AND ENVIRONMENT
  • Moderate stress environment related to ad hoc situations and events
  • Longer work hours are expected during New Student Orientations, and occasional other ad hoc situations.
  • Occasional travel may be warranted
