About The Role
## Description
The Maintenance Planner & Scheduler supports maintenance operations by assisting with work order updates, scheduling communication, inventory tracking, purchasing documentation, calibration recordkeeping, and maintenance reporting.
This role is focused on **data entry, coordination support, and administrative assistance** to help ensure safe and efficient maintenance operations.
**KEY RESPONSIBILITIES**
**Maintenance Work Order & Scheduling Support**
- Receive maintenance schedules from supervision and update work order system as directed.
- Enter and update work orders in CMMS (eMaint or similar) as assigned.
- Provide status updates on assigned work orders to Maintenance Manager.
- Notify supervision of delays, incomplete work, or missing information.
- Assist with printing or compiling weekly maintenance schedules as requested.
**Purchasing & Vendor Support**
- Assist in identifying maintenance material and spare parts needs as directed.
- Prepare purchase requisitions based on supervisor instructions.
- Contact vendors only as directed by Maintenance Manager.
- Relay information between vendors and supervision as needed.
- Assist in scheduling contractor visits as instructed.
**Inventory & Storeroom Support**
- Record inventory transactions and updates in the system.
- Assist with cycle counts and physical inventory audits.
- Label, organize, and stock spare parts as directed.
- Report low inventory levels or shortages to supervision.
- Assist in documenting spare parts usage and returns.
**IATF Compliance & Calibration Support**
- Update calibration records and logs as provided by supervision.
- File calibration certificates and supporting documentation.
- Notify supervisor of upcoming or overdue calibration items.
- Assist in preparing documentation for audits when requested.
- Support corrective action documentation by recording information as directed.
**Documentation & Reporting Support**
- Compile or print maintenance reports as requested by supervision.
- Maintain organized maintenance files and records.
- Assist in contractor documentation filing and recordkeeping.
- Support onboarding paperwork for contractors as directed.
- Provide basic status updates and raw data as requested.
## Qualifications
**Qualifications**
- 3–5 years of experience in maintenance support, administrative support, inventory tracking, or industrial maintenance environment preferred.
- Basic knowledge of CMMS systems (eMaint or similar) preferred.
- Familiarity with maintenance work order systems preferred.
- Basic understanding of maintenance, inventory, or manufacturing environments preferred.
- Strong organizational and documentation skills.
- Strong attention to detail and communication skills.
**License(s)/Certification(s) Required:**
- Valid drivers license and acceptable Motor Vehicle Record in compliance with Paulo's Vehicle Use Policy.
- Must be able to obtain a forklift certification.
