**Front Office Coordinator**

**Position Summary**

The Front Office Coordinator serves as the first point of contact for patients and visitors, ensuring a positive patient experience while maintaining efficient front office operations. This position is responsible for patient check-in and check-out, scheduling appointments, insurance verification, referral coordination, and administrative support to providers and clinical staff.

**Essential Duties and Responsibilities**

**Patient Reception and Registration**

  • Greet patients and visitors in a courteous and professional manner.
  • Check patients in and out for appointments.
  • Verify demographic and insurance information and update records as needed.
  • Collect copayments, deductibles, and outstanding balances.
  • Obtain required patient forms and signatures.

**Scheduling and Communication**

  • Schedule, reschedule, and confirm patient appointments.
  • Answer and direct incoming phone calls.
  • Respond to patient inquiries and provide appropriate information.
  • Coordinate patient messaging and communication through the electronic medical record (EMR) system.

**Referral Coordination**

  • Process referrals to specialists, diagnostic facilities, and ancillary services.
  • Obtain insurance authorizations and referrals when required.
  • Communicate referral information to patients and receiving offices.
  • Track referral status and ensure completion of ordered services.
  • Maintain accurate referral documentation within the EMR.

**Insurance and Administrative Support**

  • Verify insurance eligibility and benefits.
  • Assist with prior authorizations and related documentation.
  • Maintain patient confidentiality in accordance with HIPAA regulations.
  • Scan, file, and manage patient records and correspondence.
  • Perform other administrative duties as assigned.

## Qualifications
**Qualifications**

  • High school diploma or equivalent required.
  • Minimum of 1–2 years of medical office experience preferred.
  • Knowledge of medical terminology, insurance plans, referrals, and authorizations.
  • Experience with electronic medical records (EMR/EHR) systems. Eclinicalworks preferred.
  • Strong organizational, communication, and customer service skills.
  • Ability to multitask and work efficiently in a fast-paced environment.

**Physical Requirements**

  • Ability to sit, stand, and walk for extended periods.
  • Ability to use a computer, telephone, and standard office equipment.
  • Ability to occasionally lift up to 20 pounds.

**Work Environment**

  • Medical office/clinic setting.
  • Frequent interaction with patients, providers, and healthcare staff.
