**Summary of Position Purpose**
The Assistant to the President is responsible for providing a variety of tasks needed to manage the office of the President and to assist the President in performing his duties. The assistant serves as a liaison between the President, his constituents, and the community at large. The assistant plays a crucial role in maintaining effective communication.
Duties & Responsibilities
- Coordinate the President’s schedule.
- Work with all areas of the school community members (students, staff, and faculty) to disseminate information and facilitate school relations pertaining to the office of the President.
- Maintain excellent external working relationships with members of the Board of Trustees, community members, donors, parents (current and past), alumni, high school and college/university presidents and other administrative officers of secondary institutions and colleges/universities.
- Provide phone coverage and act as receptionist for the President’s office.
- Create and edit correspondence and other documents.
- Coordinate mailings and support for Presidential functions.
- Assist in coordinating and completion of the mailing for the Board of Trustees meetings, including taking minutes at the quarterly meetings.
- Oversee and coordinate various school-wide events, including but not limited to:
- Assisting with Major Events: Open House, Gala, Homecoming, and President’s Counselors Dinner.
- Lead in Major Event: Graduation
- Assist the Athletic Department – liaison with Team Parents, assist with scheduling team banquets
- Serving as a liaison between the Parents’ Club and Administration
- Acting as Treasurer for the Parents’ Club
- Coordinate all Parents’ Club events:
- President’s Mass & Reception
- Ho Ho Hoya
- Mother’s Tea
- Father’s Social
- Mother & Son Mass & Brunch
- Father & Son Mass & Brunch
- Parent Socials
- Parent Education Meetings
- Assist the Institutional Advancement team in planning events for the President
- Plan Senior Dinners for the President
- Manage the School Veracross calendar
- Assist the Campus Ministry Department in planning events
- Complete special projects as assigned by the President.
Qualifications & Requirements
- Bachelor’s degree from an accredited college or university.
- Five to ten years of general administrative/office management experience required.
- Serve as contact person for RSVP’s to events hosted by the President or Board of Trustee events.
- Microsoft Office software (Word, Excel, and Outlook) experience is required.
- Flexibility and initiative, as well as the ability to work independently, combined with the skills for thriving in a team environment.
- High professional and ethical standards for handling confidential information.
- Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines.
- Make travel arrangements for President.
- Maintain files (professional and personnel).
- Responsible for ordering supplies and equipment.
- Must present professional image on phone and in person.
- Assist with general office duties, as needed.
Salary Range $65,000- $75,000 based on experience.
