**Position title**: Office Manager

**Location**: Equine Therapy Ranch, Plant City, FL

**Summary** Our ranch provides equine - assisted therapy for veterans and children with special needs. We are seeking a compassionate, highly organized **Office Manager** with experience in a therapy, counseling, medical, or behavioral - health setting. This role is the administrative backbone of our ranch - supporting clients, staff, and daily operations with professionalism and heart.

**Responsibilities include (but are not limited to):**

• **Client Intake & Coordination**: Manage new client inquiries, intake paperwork, eligibility verification, and onboarding for therapy services.
• **Scheduling Management**: Coordinate therapy sessions, staff calendars, arena/horse usage schedules, cancellations, and waitlists.
• **Human Resources Support**: Assist with onboarding, maintaining personnel files, timesheet tracking, compliance documentation, and communication with staff.
• **Administrative Operations**: Oversee daily office operations, maintain records, manage supplies, and ensure smooth communication across the ranch.
• **Accounting & Billing**: Support bookkeeping tasks such as invoicing, payment tracking, expense reporting, and coordination with the ranch’s accountant.
• **Client & Visitor Support**: Serve as the first point of contact for families, veterans, volunteers, and community partners.

## Qualifications

• Minimum **1 year of experience** in a therapy, medical, counseling, or similar office environment.
• Strong understanding of **client confidentiality**, HIPAA aligned practices, and trauma informed communication.
• Experience with **HR processes**, scheduling systems, and basic accounting software.
• Excellent communication, organization, and multitasking skills.
• Comfort working in a ranch environment around horses and outdoor activity.
• Passion for serving **veterans**, **children with special needs**, and their families.
