About The Role

Student Office Assistants support the day-to-day operations of the Office of Institutional Advancement and contribute to the success of several functional areas, including Alumni Engagement, Advancement Operations, Donor Relations, and Major Gifts & Planned Giving. This position provides hands-on experience in alumni engagement, donor stewardship, event planning, constituent data management, and administrative support while helping strengthen relationships with Allegheny alumni and donors. Students will develop professional skills in communication, organization, customer service, project management, and nonprofit advancement. Students in this role gain exposure to the inner workings of a college advancement office, including alumni relations, fundraising, donor stewardship, event planning, and constituent database management.

Responsibilities may include, but are not limited to: Welcome and assist visitors to the Tippie Alumni Center. Provide administrative support for multiple areas within Institutional Advancement, including Alumni Engagement, Advancement Operations, Donor Relations, and Major Gifts & Planned Giving. Assist with planning and preparation for alumni, donor, and campus events, including Reunion Weekend, Blue & Gold Weekend, and other advancement programs. Record personalized ThankView videos thanking alumni and donors for their support. Write handwritten thank-you notes and other donor stewardship correspondence. Assist with maintaining donor and alumni records in Blackbaud Raiser's Edge NXT (training provided). Perform administrative tasks including data entry, filing, spreadsheet updates, document preparation, copying, mailings, and other office support. Complete special projects and other duties as assigned. Help maintain an organized, welcoming, and professional office environment.

Successful candidates will demonstrate: Strong written and verbal communication skills. Excellent attention to detail and organizational skills. Dependability, punctuality, and professionalism. Ability to work independently while also contributing to a team. Strong computer skills, including Microsoft Office and Google Workspace. Willingness to learn new software systems, including Blackbaud Raiser's Edge NXT. Ability to maintain confidentiality when working with donor, alumni, and College information. Interest in communications, fundraising, nonprofit management, event planning, business, marketing, data management, or related fields is a plus.
