Position Overview
Gillon Property Group is seeking a highly organized and proactive Property Administrator to support the Knox Street management and accounting teams. This multifaceted role is integral to the smooth day-to-day operation of the property and management office, requiring someone who thrives in a fast-paced environment, takes initiative, and brings strong administrative and communication skills to every task. The ideal candidate is detail-oriented, collaborative, and comfortable managing competing priorities with professionalism.
Key Responsibilities
Property Management Support
- Support the Property Management team with vendor relations, including communication, documentation, and performance follow-up.
- Input and manage payables in YARDI, confirm regular billings, and ensure accuracy of vendor invoices.
- Assist with project management duties including scheduling, documentation, and coordination across internal teams and outside contractors.
- Organize and maintain tenant information, files, and records in an orderly and accessible manner.
- Help prepare and distribute tenant correspondence, notices, and general communications as directed.
- Assist the Property Manager in tracking open maintenance items, work orders, and project timelines.
Office Management
- Serve as Office Manager for the Knox Street Management Office, maintaining a professional, organized, and well-stocked work environment.
- Manage and replenish office supplies, coordinating procurement as needed.
- Plan and execute office events, team programming, and internal initiatives that support team culture and engagement.
- Coordinate any office improvement projects, including vendor scheduling, logistics, and follow-through.
- Provide information technology support for the management office team, liaising with IT vendors or service providers as needed.
- Assist with onboarding of new team members, including workspace setup, access coordination, and orientation support.
Accounting & Financial Support
- Support the Accounting team by coordinating and maintaining accurate lease abstracts for all tenants.
- Manage vendor Certificates of Insurance (COIs), tracking expirations and ensuring current documentation is on file.
- Verify vendor invoices for accuracy and completeness prior to processing.
- Run and distribute property reports in YARDI as requested by accounting and management personnel.
- Assist with month-end processes, reconciliation support, and other accounting-related administrative tasks as needed.
Qualifications
- Bachelor's degree preferred.
- Minimum of 2–4 years of administrative experience in property management, real estate, or a related field.
- Proficiency in Microsoft Word, Excel, and Outlook; experience with YARDI property management software strongly preferred.
- Exceptional organizational skills with outstanding attention to detail.
- Strong interpersonal and communication skills, both written and verbal.
- Self-directed and proactive with the ability to manage multiple priorities in a fast-paced, team-oriented environment.
- Professional demeanor with a service-first mindset when interacting with tenants, vendors, and colleagues.
