About The Role

We are seeking an organized, tech-savvy, and proactive Legal Assistant to support our growing legal team. In this role, you will be the operational engine of our practice, handling critical administrative, clerical, and client-facing tasks from a virtual environment. The ideal candidate has a proven track record of managing fast-paced digital workflows, handling remote collaboration tools with ease, and keeping case files meticulously organized.

Key Responsibilities

  • Maintain, organize, and update digital client files within our cloud-based case management software.
  • Manage attorney calendars, schedule depositions, client meetings, and mediations, and track strict court deadlines.
  • Act as a primary point of contact via phone and email; conduct initial client screenings, collect basic intake information, and route inquiries appropriately.
  • Order, track, and follow up on essential case records (medical records, billing statements, police reports, and insurance details).
  • Handle e-filing with courts, draft standard administrative correspondence, manage digital mail, and assist with basic invoice or billing entry.
  • Advanced English proficiency (C1 or higher).
  • Availability to work on site in Medellin.
  • Minimum of 1–2 years of experience in an administrative/legal role.
  • High proficiency with cloud-based collaboration tools (e.g., Zoom, Slack, Microsoft Teams, SharePoint, or Google Workspace) and digital phone systems.
  • Hands-on experience with legal case management software (e.g., Clio, Filevine, Smokeball, or similar platforms).
  • Exceptional written and verbal communication skills with a professional, empathetic phone demeanor.
  • Laser-sharp attention to detail and the ability to prioritize tasks independently without direct daily supervision.

Preferred Qualifications

  • Prior experience working in a Personal Injury law firm (plaintiff or defense).
  • Understanding of the medical records collection process, medical terminology, and requesting balances/liens.
  • Experience communicating with auto insurance adjusters to open claims, check coverage limits, or request property damage updates.
