Position Summary

We are seeking a highly organized and service-oriented Office Services Assistant to join our Calgary office. This role is a key member of the Office Services team, supporting daily operations across multiple office functions.

The position is fast-paced and dynamic, with responsibilities that vary day-to-day. The successful candidate will be hands-on, adaptable, and take a proactive approach to supporting staff, maintaining office services, and assisting with ongoing projects as needed.

Key Responsibilities

Office Operations & Coordination

  • Act as the single point of contact (SPOC) for coordinating all internal catering requests
  • Manage and coordinate conference centre and meeting room bookings
  • Perform daily preparation of executive boardrooms and meeting spaces
  • Support internal mail delivery

Service Requests & Administrative Support

  • Act as SPOC for service tickets, ensuring requests are properly triaged and assigned
  • Submit and track building service requests
  • Verify and process courier invoices
  • Assist with travel program administration, including onboarding new users
  • Post updates and communications on internal platforms

Supplies, Inventory & Procurement

  • Maintain and replenish supply rooms across both towers
  • Manage stationery ordering for staff
  • Maintain inventory of printed materials (envelopes, letterhead, etc.)
  • Coordinate ordering of printed items (business cards, posters, signage)
  • Maintain executive supply stock

Equipment & Facilities Support

  • Perform basic printer and plotter maintenance and coordinate service as required
  • Ensure office equipment and shared resources are functioning and stocked

Logistics & Vendor Coordination

  • Manage taxi chit ordering

Team & Project Support

  • Provide support to the Office Services team on projects, office initiatives, and ad hoc tasks

Qualifications & Skills

  • Strong organizational and multitasking abilities in a fast-paced environment
  • Excellent customer service and communication skills
  • Ability to work independently while contributing to a team
  • High attention to detail and strong problem-solving skills
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Excel, Word)
  • Experience with service ticketing systems or workplace tools is an asset
