Role Summary

The Executive, Property Management performs day-to-day operations of assigned properties, maintains smooth processes, and supports residents' relations. This role also collects rent and assists in budget preparations, while records financial and operational data.

Key Outcomes

  • Maintains seamless daily operations that contribute to high tenant satisfaction.
  • Follow up on and resolve maintenance and tenant issues efficiently.
  • Ensures accurate collection of rent and timely submission of reports.

Key Responsibilities

Daily Operations Management

  • Performs routine property operations and supports tenant and owner needs.
  • Coordinates maintenance work and follows up to ensure prompt completion.
  • Searches for solutions to tenant concerns and checks progress on open items.
  • Updates internal systems and files documents for property records.

Maintenance charges & sinking fund collection

  • Collects and records rent and fees.
  • Follows up on delinquent accounts and posts updates to the ledger.
  • Assists in compiling and reviewing maintenance requests.
  • Checks the status of ongoing repairs and scans reports for inconsistencies.

Reporting & Administration

  • Assists in compiling financial data and preparing property budgets.
  • Maintains organized records of tenant interactions and maintenance activity.
  • Types and proofreads reports for internal and external use.
  • Calculates expense summaries and itemizes charges when needed.
  • Transcribes meeting notes or contractor updates into formal documentation.

  • Daily Operations – Performs and maintains day-to-day property functions to ensure tenant satisfaction.
  • Property Maintenance – Assists in coordinating and following up on routine and emergency repairs.
  • Compliance & Inspection – Conducts site checks and ensures adherence to safety and Strata Management Act 2013.
  • Financial Support – Collects rent, compiles data, and calculates basic expenses for budget preparation.
  • Complaint Handling – Searches for resolution, follows up on tenant issues, and records outcomes.
  • Contractor Coordination – Supports communication with vendors and checks service delivery quality.

Tools & Methodologies (Enhancing Execution & Productivity)

  • System Updates – Posts, transcribes, and updates property records digitally.
  • Budget Input – Compiles expense data and calculates cost breakdowns.
  • Feedback & Logs – Records, types, and proofreads service reports and tenant communications.
  • Digital Coordination – Scans documents, sorts requests, and supports report formatting.

Operational Support (Execution & Collaboration)

  • Task Management – Sorts and prioritizes responsibilities for smooth property operations.
  • Team Collaboration – Assists team members and supports cross-functional work with finance, contractors, and management.
  • Record Keeping – Files and updates reports, tenant logs, and system data.
  • Emergency Response – Responds to urgent property issues and coordinates immediate action.

Qualification and Experience

  • Educational Background : Diploma/Degree in Property Management, Facilities Management, Business Administration, or a related field.
  • Professional Experience : Fresh graduate or at least 1 year of experience in property management or a related role.
  • Technical Skills : Basic knowledge of property management software and maintenance coordination.
