About The Role
Position Overview
The Executive Assistant plays a key role in keeping senior leadership and business operations organized, efficient, and on track. This position goes beyond traditional administrative support by coordinating priorities, maintaining systems and documentation, managing follow-up, and supporting cross-functional projects. The ideal candidate is highly organized, detail-oriented, discreet, and comfortable creating structure in a dynamic environment.
Key Responsibilities
- Provide day-to-day administrative support to senior leadership.
- Manage calendars, meeting preparation, scheduling, and follow-up items.
- Coordinate and maintain contracts, business records, and important documentation.
- Develop and maintain organizational systems, filing structures, and administrative processes.
- Assist with creating, documenting, and implementing standard operating procedures (SOPs).
- Maintain CRM data and support ongoing system organization and accuracy.
- Coordinate with internal teams, vendors, and external partners to keep projects on track.
- Support marketing and branding initiatives by coordinating with outside service providers.
- Track deadlines, renewals, recurring priorities, and administrative action items.
Qualifications
- Previous experience as an Executive Assistant, Administrative Manager, Office Manager, or in a similar role supporting senior leadership.
- Excellent organizational, prioritization, and time-management skills.
- Strong written and verbal communication abilities.
- High level of professionalism and discretion when handling confidential information.
- Ability to manage multiple tasks in a fast-paced and evolving environment.
- Proficiency with Microsoft Office, Google Workspace, CRM systems, and document-management tools.
- Strong attention to detail and a commitment to process improvement.
- Ability to work independently while maintaining clear communication with leadership and stakeholders.
Preferred Qualifications
- Experience supporting executives, founders, owners, or senior leadership teams.
- Background in commercial real estate, hospitality, construction, professional services, or a related environment.
- Experience creating administrative systems, documentation standards, or workflow processes.
