CARRIER COMPLIANCE & CLAIMS COORDINATOR

About The Role
The purpose of this position is to verify existing and new carriers are in compliance with Vision/GX Transportations’ SOP’s, process, investigate, record, and settle claims, and in the process work closely with related teams to prevent similar occurrences.
CARRIER PROFILE SET UP: 
- Vendor Vetting & Verification: Gather all necessary onboarding information from potential carriers in strict accordance with company SOPs. Independently verify documentation accuracy using various industry portals.
- Compliance Management: Audit critical compliance documents, including verifying valid Workplace Safety and Insurance Board (WSIB) numbers, cargo insurance, and liability coverage limits.
- Agreement & Insurance Coordination: Facilitate the signing of Carrier-Broker Agreements via MyCarrierPackets (MCP) or manual processes. Source Certificates of Insurance (COI) directly from insurance brokers, ensuring correct certificate holder listings for our entities.
- System Onboarding: Set up, maintain, and update carrier profiles within our TMW transportation management software.
- Data Management: Organize and manage digital assets by creating new vendor files and securely storing carrier authorities within Google Drive.
- Ongoing Auditing: Conduct routine compliance audits every three / six months to assess current vendors, ensuring our network remains fully compliant with industry and company regulations.
CLAIMS:  
- Claims Investigation & Adjudication: Gather and review all necessary documentation (PODs, BOLs, OS&D reports) to investigate, approve, or decline freight claims within target timelines.
- Salvage & Returns Management: Coordinate with dispatch and terminals to handle the logistics of returned, refused, or damaged freight—authorizing repair, salvage, or disposal as needed.
- Liability & Partner Recovery: File and resolve interline carrier claims to determine liability, and escalate unresolved files to third-party insurance providers.
- Dispute Resolution: Act as the primary contact for claims inquiries. Partner with Sales leadership to handle and resolve sensitive or high-value customer disputes.
- Reporting & Compliance: Maintain accurate claim files (On Google Drive and TMS)  in compliance with federal and provincial regulations, and analyze claims data to identify trends and improve loss-prevention policies.
Core Requirements
- Experience: 1 to 3 years of experience working in an office environment.
- Education: High School Diploma or an equivalent qualification.
Preferred Qualifications
- Specialized Training: Post-secondary training specifically focused on claims processing.
Key Systems & Software Skills
Candidates should be comfortable using or learning the following systems
- Logistics & TMS Software: TruckMate (TMW), and Peoplenet.
- Communication & Productivity: Google Workspace (Docs, Sheets, Drive), Slack, and Front.
- Industry Portals: Experience navigating various customer and industry web portals (such as MyCarrierPackets for carrier vetting).
Essential Competencies
- Compliance Knowledge: Ability to audit and verify critical transportation documents like Workplace Safety and Insurance Board (WSIB) numbers, cargo insurance, and liability limits.
- Claims Investigation: Experience gathering and reviewing transportation documentation (such as Proof of Deliveries [PODs], Bills of Lading [BOLs], and Over, Short, and Damaged [OS&D] reports) to adjudicate claims.
