Role Summary

The Administrative Support Specialist provides comprehensive administrative support across multiple business functions, including compliance administration, credentialing support, payroll assistance, documentation management, and general office coordination. This role plays a key part in ensuring daily operations run efficiently by maintaining accurate records, supporting staff and clients, and delivering timely administrative assistance. The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple responsibilities with minimal supervision.

Key Responsibilities

  • Provide day-to-day administrative support across various operational functions.
  • Manage agency-specific and facility-specific administrative requirements and documentation.
  • Perform accurate data entry and maintain organized electronic records.
  • Assist with timekeeping, payroll, and invoicing support tasks.
  • Monitor compliance documentation and conduct secondary verification of document expiration alerts generated by the company's systems.
  • Follow up with employees regarding expired credentials, required testing, training, and compliance documentation.
  • Prepare employment verification letters, facility placement files, reports, and other administrative documents.
  • Answer inbound phone calls, make outbound calls, respond to emails and text messages professionally on behalf of the company.
  • Coordinate meetings, appointments, and administrative schedules.
  • Support additional administrative, compliance, and operational projects as needed.

Qualifications

  • At least 2 years of experience in administrative support, office administration, compliance, or operations support.
  • Experience supporting U.S.-based businesses is highly preferred.
  • Strong data entry skills with exceptional attention to detail and documentation accuracy.
  • Excellent verbal and written communication skills with professional phone etiquette.
  • Highly organized with strong time management and multitasking abilities.
  • Able to work independently, take initiative, and follow through on tasks with minimal supervision.
  • Proactive, flexible, and willing to support multiple business functions as needed.
  • Experience with Microsoft Office, Google Workspace, payroll systems, HRIS, or compliance platforms is an advantage.
  • Healthcare staffing, healthcare administration, or recruitment industry experience is a plus.
  • Willing to work night shifts aligned with U.S. business hours.
