Role Summary
The Healthcare Staffing Scheduler is responsible for coordinating clinician schedules and ensuring healthcare facilities receive timely staffing support. This role oversees day-to-day scheduling operations, matches available clinicians with open shifts, and proactively resolves staffing gaps to maintain optimal coverage. The ideal candidate is highly organized, thrives in a fast-paced environment, and enjoys building strong relationships with healthcare professionals while making quick, informed decisions.
Key Responsibilities
- Match clinician availability with open facility shifts while maximizing staffing coverage.
- Oversee daily scheduling activities, including publishing staffing needs and coordinating shift assignments.
- Send shift confirmations promptly once assignments have been approved.
- Proactively resolve scheduling gaps by contacting clinicians through phone calls and text messages instead of relying solely on automated systems.
- Build and maintain strong working relationships with clinicians to understand their availability, preferences, and reliability.
- Identify staffing trends and prioritize outreach to dependable clinicians when urgent coverage is needed.
- Coordinate with internal teams to ensure scheduling activities are completed accurately and efficiently.
- Maintain accurate scheduling records and update staffing information in company systems.
- Respond promptly to scheduling inquiries while delivering excellent customer service.
- Meet scheduling performance expectations by filling staffing requests quickly and maintaining high service levels.
Qualifications
- At least 2 years of experience in staffing coordination, workforce scheduling, or healthcare staffing.
- Experience supporting U.S.-based healthcare staffing operations is highly preferred.
- Healthcare or medical staffing experience is strongly preferred.
- Excellent verbal and written communication skills with strong phone etiquette.
- Highly organized with exceptional attention to detail and the ability to manage high scheduling volumes.
- Ability to make sound decisions independently while managing multiple urgent priorities.
- Proactive, resourceful, and comfortable taking initiative with minimal supervision.
- Strong relationship-building skills and the ability to establish rapport with healthcare professionals.
- Experience using scheduling software, workforce management systems, CRM platforms, or similar tools is an advantage.
- Willing to work night shifts aligned with U.S. business hours.
