As an Office & Vibe Manager (m/f/d) , you are the heart of our Vienna headquarters. In this part-time position (25 hours/week, MO - FR 08:00 - 13:00), you will ensure that our office runs seamlessly while creating an inspiring, welcoming and well-organized environment for colleagues, visitors, and partners alike. With your hands-on mentality, organizational talent and eye for detail, you’ll help create an exceptional workplace experience that reflects our culture and values every single day.

Your responsibilities at waterdrop®

  • You will take ownership of the day-to-day operations of our office, ensuring everything runs smoothly while acting as the go-to person for colleagues and visitors.
  • You will support the team with practical matters such as travel bookings, office equipment, meeting room coordination and liaising with external service providers including technicians, safety experts and coaches.
  • You will continuously improve office processes and implement efficient ways of working that create structure, clarity and an outstanding employee experience.
  • You will maintain a welcoming, clean and organized office environment while championing our clean office policy and ensuring every guest receives a warm and professional welcome.
  • You will manage daily administrative tasks including incoming mail, courier services, post office runs, office supplies, invoices and the coordination of office equipment.
  • You will oversee inventory management for our in-house warehouse, ensuring stock levels are maintained and accurately tracked.
  • You will work closely with the HR team to organize memorable employee events, support onboarding experiences and create thoughtful initiatives that strengthen engagement and team spirit.
  • You will proactively identify opportunities to improve the workplace experience and continuously raise the standard of our office environment.

Your strengths and qualifications

  • You have previous experience in Office Management, Workplace Experience, Hospitality, Administration or a comparable role.
  • You have excellent organizational skills and enjoy keeping multiple topics on track simultaneously.
  • You have a proactive, hands-on mindset and naturally take ownership of tasks.
  • You are approachable, service-oriented and enjoy creating a positive experience for colleagues and visitors.
  • You have strong communication skills and feel comfortable working with internal stakeholders as well as external partners.
  • You are detail-oriented, reliable and able to work independently while prioritizing effectively.
  • You are confident using common office software such as Microsoft Office or Google Workspace.
  • You are fluent in English (C1 level or above). German is considered a strong advantage.

The minimum salary for this position is EUR 23,377 gross per year based on a 25-hour work week (corresponding to EUR 36,000 gross per year on a full-time basis (38.5 hours/week) . Depending on your qualifications and experience, there is the willingness for overpayment up to the equivalent of EUR 40,000 gross per year on a full-time basis.
