Reporting to the Manager, Space Strategy, the Senior Associate, Facilities - MAC is responsible for managing and ensuring successful and timely execution of office space reconfigurations , people moves , adds and changes and supporting the planning and delivery of tenant improvement projects to support the OMERS and Oxford Head Office at 100 Adelaide.
MAC Responsibilities
- Manage, oversee, and coordinate all project deliverables related to office space requirements including reconfigurations, moves, adds and changes (M.A.C.)
- E nsur e the successful delivery of projects, on time and on budget .
- Consult with Network and Global Client Services Teams to communicate requirements and ensure complete understanding of the project s .
- Develop the appropriate space strategies to accommodate employees during construction phase (Using either swing space or phased approach) .
- Develop schedules, clear communications, and timelines for effective relocating of staff and contents .
- Manage and c oordinate the facilities team s upport , and / or third-party vendor s for execution of M.A.C . Requests.
- Develop and maintain strong relationships with key stakeholders (internal and external) required for project execution .
- Monitor project work during implementation/construction phase to ensure adherence to timelines, quality standards , budgets, and all other related requirements .
- Ensure projects comply with regulatory, environmental, health and safety requirements and incorporate sustainable practices (disposal and re-use) , where possible into the M.A.C. delivery process .
- Manage, coordinate, and negotiate furniture deliveries and services with vendors and trades .
- Accountable for issue resolution and ensure a strategy for escalation when required relating to office space reconfiguration and build outs .
- Prepare detailed summary d ocumentation to obtain approval from Business Owners includ ing furn iture , fixtures , installations, and other services .
- Provide the Space Strategy team & leaders with regular status reports regarding M.A.C. requests and building occupancy
Facility Operations and Administration Responsibilities
- Receive and action requests for building access (onboarding, off boarding, guest access and temporary access) and facility related activities and/or email requests from business groups to be incorporated into overall space planning .
- Act as first point of contact, for Security and Building Operations when coordinating M.A.C. activities .
- Prepare preliminary budget numbers to support the department budget .
- Review, p rocess , code and reconcile all departmental invoices through Basware Accounting system (OMERS and Oxford) . Manage issue resolution and escalate when required .
- Manage Spreadsheet to include vendor and furniture inventories to support the qualit y and sustainability practices for the Space Strategy department.
- Manage Detailed Art Cata logue for Management and Senior Executives .

Education and Experience
- College Diploma, Facilities Management studies preferred .
- 6-7 Years of work-related in a high-paced, office operations support, with experience in a facilities role and supporting the planning and delivering of facilities moves, adds and changes projects a requirement .
- Working expertise of various furniture systems, interiors, as well as expertise in project manag ement, move management, scheduling, negotiation, budgeting .
- Computer Skills, proficient in MS Office, Power P oint .
- Familiarity with AutoCAD is a requirement .
This posting is for an existing vacancy.
The expected salary range for this position is $72,000.00 - $108,000.00 per year, prorated based on the term of the contract.
